Start with a reporting cadence your team can maintain
Choose a rhythm that fits the way your projects run. Weekly updates are common for site reporting, while shorter internal reviews can be useful for fast-moving work. The important point is consistency: each cycle needs a clear cutoff, a responsible reviewer, and a defined audience.
Collect updates against the work structure
Ask teams to report progress against agreed work packages, activities, or milestones—not only free-form status messages. That makes it easier to compare the current update with the prior period and identify work that has stalled.
- the relevant activity, work package, or milestone;
- progress achieved during the reporting period;
- current status and the next action;
- blockers, dependencies, or decisions needed; and
- any schedule impact requiring review.
Review exceptions before distributing the report
A report is most useful when it highlights what needs attention. Review overdue activities, blocked work, changes to planned dates, and items that require action from another team. A collection of updates becomes decision-ready only after this review.
Keep reporting connected to the programme
Progress updates are more useful when considered alongside the current project schedule. Teams using Primavera P6 can import XER files into PlanSync to bring schedule context into the project-controls workflow. Imported schedule data should still be checked against the underlying activity information.
Make every report actionable
A strong report answers three questions: what was completed since the last update; what is at risk or blocked now; and what action, owner, and target date are needed next? Carry unfinished actions into the following review so reporting becomes a control process rather than a historical record.
Where PlanSync fits
PlanSync supports project teams working with project information, schedule context, progress data, and reporting in one workspace. Use it to organise projects, review work updates, and establish a more consistent reporting routine.
